You can now record when a client’s estate planning documents have been signed and notarized, right from your Advisor portal. This keeps your client list up to date and ensures your client’s plan shows the correct status, without your client having to log back in and do it themself.
What do I need to mark a client’s documents as signed?
You need Collaborator access to your client’s plan. A client can give you one of two access levels:
- Collaborator: View your client’s documents and record signed/notarized dates.
- Limited: See your client’s plan type and progress only.
When a client chooses to share their estate plan with you, you’re automatically given Collaborator access. Your client can change your access to Limited or remove your access entirely at any time.
If your client shared their plan with you before this update, you likely have Viewer access. Viewer lets you see your client’s documents, but not record signing dates. Your client will need to upgrade your access to Collaborator before you can record signing dates.
How do I get Collaborator access?
Only your client can give you Collaborator access, but you can send them a request from your Advisor portal.
- Go to your Client List in the Advisor portal.
- Select the client you’d like to request access from.
- Click Request Collaborator Access.
Your client can then approve your request in their Trust & Will account.
How do I mark a document as signed or notarized?
Once you have Collaborator access:
- Go to your Client List and select your client.
- Find the document you’d like to update.
- Click Record Signing and enter the date the document was signed or notarized.
- Click Save.
What happens after I mark a trust as signed?
For a trust, the signed date can only be recorded once, so please double-check the date before saving.
Once a trust is marked as signed, these details are locked in your client’s plan to protect the signed documents:
- Name
- Relationship status
- Spouse’s name
- Trust name
You’ll see a warning before you confirm. Your client can still update the rest of their plan. If one of the locked details needs to change, your client can contact our Member Support team for help.
Why don’t I see the option to mark documents as signed?
There are two common reasons:
- You don’t have Collaborator access yet. Ask your client to approve your access request.
- This feature is still rolling out. We’re making it available to advisors gradually, so you’ll see it soon if you don’t already.
